1. Agreement to Terms & Operator

These Terms of Service (“Terms”) govern your access to and use of Strata Archives (located at https://strata.rocksolidsystemshq.com), a personal media cataloging, collection management, and inventory software application owned and operated by Rock Solid Systems LLC, a Kansas limited liability company headquartered in Lawrence, Kansas, USA (“Rock Solid Systems,” “we,” “us,” or “our”). By creating an account, using the application, or purchasing a subscription or booster pack, you agree to be bound by these Terms. For all customer support, billing, or legal inquiries, contact us at support@rocksolidsystemshq.com.

2. Account Registration & Free Starter Vault Entitlements

Every registered user receives our Starter Vault (Free Tier) at no cost and with zero advertisements:

10,000 Free Owned Library Slots: Track up to 10,000 owned works across Books, Movies, Music, and Video Games.
3 Permanent Starter AI Shelf Scans: Non-expiring starter scan credits to test multi-item AI shelf photo recognition.
Unlimited Wishlist, Favorites & Activity Tracking: Wishlisted items and reading, watching, listening, or playing activity logs never count against your Owned Library Slot limit.
15-Item Collector Vault & PDF Preview: Full feature preview of physical condition, storage location, loan tracking, financial valuation, and printable Personal Property Inventory PDF generation for up to 15 items, plus unlimited CSV import and export at any time.

3. Paid Subscriptions (Pro & Ultimate), Auto-Renewal & Monthly Scan Cycles

We offer two optional recurring subscription tiers processed via Stripe, Inc. (on Web) or Apple Inc. (App Store In-App Purchase) and Google LLC (Google Play Billing) (on iOS and Android, with cross-platform entitlement synchronization orchestrated via RevenueCat, Inc.):

Collector (Pro): Priced at $9.99/month or $89.00/year. Includes Unlimited Owned Library Slots (∞), 35 AI Shelf Scans per month, and Unlimited Physical Collector Vault organization (Condition, Packaging, Storage Location, Loan Tracker, and Notes), plus the 15-item Financial Valuation & PDF preview.
Archivist (Ultimate): Priced at $19.99/month or $179.00/year. Includes Unlimited Owned Library Slots (∞), 80 AI Shelf Scans per month on Monthly billing or 200 AI Shelf Scans per month on Annual billing, Unlimited Physical Collector Vault organization, and Unlimited Financial Valuation Dashboard & Printable Personal Property Insurance Inventory PDFs.
Automatic Renewal: Subscriptions automatically renew at the end of each monthly or annual billing period using your payment method on file with Stripe unless you cancel prior to the renewal date.
Monthly Scan Cycle Reset: Subscription AI Shelf Scan allowances refill once per monthly cycle. Unused monthly subscription scans reset at the next monthly refill date and do not roll over from month to month.

4. One-Time Stackable Booster Packs, Scan Burn Order & Lifetime Vault Pass

Users may purchase one-time, non-recurring Booster Packs that stack permanently on top of the Free Starter Vault or any active subscription:

Bookcase Scan Pack ($4.99 One-Time): +2,500 Permanent Owned Slots and +20 Non-Expiring AI Shelf Scans.
Room Scan Pack ($9.99 One-Time): +5,000 Permanent Owned Slots and +45 Non-Expiring AI Shelf Scans.
+10K Archive Pack ($19.99 One-Time): +10,000 Permanent Owned Slots and +100 Non-Expiring AI Shelf Scans.
+100K Master Vault Crate ($49.99 One-Time): +100,000 Permanent Owned Slots, +250 Non-Expiring AI Shelf Scans, and a permanent Lifetime Collector Vault & Printable Insurance PDF Pass (unlocking full Physical + Financial Vault & PDF exports forever without requiring a recurring subscription).
Customer-Friendly Scan Burn Order: Whenever an AI Shelf Scan is performed, the system strictly consumes expiring monthly subscription scans first (monthly_scans_remaining) before ever touching your permanent, non-expiring bonus scans (bonus_scans_remaining).

5. Cancellation, The “Never-Hostage” Downgrade Guarantee & Refund Policy

1-Click Self-Serve Cancellation: You may cancel your recurring subscription at any time in one click via the Vault Tools → Plans & Boosters tab or through the Stripe Customer Billing Portal. Cancellation sets your subscription to terminate at the end of your current paid billing period (cancel_at_period_end = true), and you retain full paid access until that period concludes.
The “Never-Hostage” Library Guarantee: If your subscription expires or downgrades to the Free tier, we never delete, hide, or lock away any of your cataloged media items, ratings, reviews, or saved Collector Vault data. All permanent bonus slots, bonus scan credits, and any Lifetime Vault Pass remain permanently attached to your account. If your total Owned item count exceeds your Free + Permanent Bonus Slot quota (`10,000 + bonus_owned_slots`), your library simply enters a non-destructive read-only safe mode for adding new Owned items while remaining 100% viewable, searchable, editable for existing items, and fully exportable to CSV at any time.
Refund Policy:
- One-Time Booster Packs: Unused Booster Packs (where zero AI scan credits and zero slot overages from the pack have been consumed) are eligible for a full refund within 14 calendar days of purchase by emailing support@rocksolidsystemshq.com. Because AI Shelf Scans incur immediate third-party compute costs, once any scan credit or slot capacity from a Booster Pack has been used, that Booster Pack is non-refundable.
- Recurring Subscriptions: Subscription charges are non-refundable once a monthly or annual billing cycle has begun, except where required by applicable law. Canceling a subscription stops all future billing cycles while preserving your paid access through the end of the current cycle.

6. User-Generated Collector Vault & USPAP Non-Appraisal Liability Boundary

All item counts, edition formats, physical condition grades, user-reported purchase prices, replacement value estimates, and printable Personal Property Inventory PDF reports generated by Strata Archives constitute a User-Generated Personal Property Inventory & Self-Reported Valuation Schedule.

Rock Solid Systems LLC is a software provider — not a licensed personal property appraiser, insurance company, underwriter, broker, or financial advisor. We do not physically inspect, authenticate, grade, or independently verify the existence, provenance, condition, or market value of any item in your collection. No report or valuation figure produced by the software constitutes a certified appraisal under the Uniform Standards of Professional Appraisal Practice (USPAP) or a guarantee of insurance payout. High-value collectibles may require separate physical receipts, photographic documentation, or a scheduled personal property rider/floater from your insurance carrier.

7. Acceptable Use, Anti-Scraping & Intellectual Property

Your Collection Data: You retain full ownership of the personal notes, ratings, reviews, and collection records you enter into Strata Archives, and you may export your vault via CSV at any time.
Anti-Scraping & Automated Abuse: Automated scraping, bulk harvesting of catalog metadata, reverse engineering, or using Strata Archives endpoints to train external machine learning models is strictly prohibited.
Affiliate & Retailer Links: Outbound retailer discovery links (“Find Wishlisted Format”) may contain affiliate identifiers that support Strata Archives at no additional cost to you.
Upstream Catalog Attributions: Bibliographic, film, discography, and video game metadata is sourced from TMDB (this product uses the TMDB API but is not endorsed or certified by TMDB), IMDb, Google Books API, Wikidata (CC0), Wikipedia contributors (CC BY-SA 4.0), Open Library / Internet Archive, MusicBrainz / Cover Art Archive / Deezer / Apple iTunes Search API, and Valve Steam / RAWG. All cover art, posters, and publisher trademarks belong to their respective owners.

8. Disclaimer of Warranties, Limitation of Liability & Governing Law

THE SERVICE AND ALL GENERATED INVENTORY SCHEDULES ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL ROCK SOLID SYSTEMS LLC BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF DATA, PROPERTY, OR INSURANCE PROCEEDS, OR FOR ANY DIRECT DAMAGES EXCEEDING THE GREATER OF (A) THE TOTAL AMOUNT PAID BY YOU TO ROCK SOLID SYSTEMS LLC IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM OR (B) FIFTY U.S. DOLLARS ($50.00).

These Terms and any dispute arising out of or related to the Service shall be governed by and construed in accordance with the laws of the State of Kansas, USA, without regard to its conflict of law principles.
